What do you do with our documents and details?

1. Who we are
This website is operated by Arya Samaj Mandir Court Marriage Delhi NCR, a marriage documentation and registration support service with its office at Room No. 10, near Court, Block 10, Sector 10, Raj Nagar, Ghaziabad, Uttar Pradesh 201002, India.
For the purposes of the Digital Personal Data Protection Act 2023 we are the Data Fiduciary for the personal data described in this policy, and you are the Data Principal. This policy explains what we collect, why, how long we keep it and how you can have it corrected or erased.
You can reach us on +91 7011476967 or at info@aryasamajmandirsdelhi.in.
2. What we collect, and why
We collect only what a marriage file actually needs. Each category below is collected for the stated purpose and for nothing else. We do not collect data "just in case".
| Category | Examples | Why we need it |
|---|---|---|
| Contact details | Name, mobile number, WhatsApp number, email address | To reply to your enquiry, send your fee quote and confirm appointments |
| Identity and age documents | Aadhaar, passport, voter ID, driving licence, birth or matriculation certificate | To verify eligibility, age and identity as the registering authority requires |
| Address documents | Utility bill, rent agreement, bank record, Aadhaar | To establish the district and jurisdiction for your registration |
| Marital status documents | Decree of divorce, death certificate of a former spouse | Required by law before a fresh marriage can be solemnised or registered |
| Witness details | Name, ID and address proof of your two or three witnesses | Witnesses are a statutory requirement; the office records their details |
| Case correspondence | WhatsApp messages, call notes, emails about your file | To keep an accurate record of what was advised, quoted and agreed |
| Technical data | Pages viewed, browser type, approximate region | Only in aggregate, to keep the website working. See our Cookie Policy |
3. Consent, and how to withdraw it
When you send us your details through the enquiry form, WhatsApp, email or a phone call, you are giving consent for us to use that information for the purposes set out in section 2. That consent is specific to your marriage file and is not treated as consent for marketing.
You may withdraw consent at any time by writing to info@aryasamajmandirsdelhi.in or by telling us on WhatsApp. Withdrawal is as easy as giving consent. Where withdrawal makes it impossible for us to continue an active file (for example, if we cannot hold your documents), we will tell you so plainly, and the Refund and Cancellation Policy applies to work already done.
Withdrawing consent does not affect anything already lawfully done before the withdrawal, and it does not override a legal obligation to retain a record.
5. Where and how long we keep it
Documents are stored on password-protected devices and business accounts. Access is limited to the people working on your file. Physical copies, where they exist, are kept in the office and destroyed once they are no longer required.
| What | How long we keep it | Why |
|---|---|---|
| Enquiry details where no file is opened | Up to 6 months | So we can help if you come back, and then it goes |
| Documents and correspondence for a completed file | Up to 3 years from completion | To answer later questions, produce a duplicate quote or defend a dispute |
| Invoices and payment records | As long as tax and accounting law requires | Statutory obligation |
| Anything you ask us to delete | Deleted on request | Unless a legal or accounting obligation prevents it |
We do not transfer your personal data outside India for our own purposes. If you contact us on WhatsApp, that message travels through WhatsApp's own infrastructure under its own terms, which we do not control.
6. Your rights
Under the Digital Personal Data Protection Act 2023 you have the following rights, and we will act on them:
- Right to access. Ask us what personal data of yours we hold and who we have shared it with.
- Right to correction and completion. Tell us a detail is wrong or incomplete and we will fix it.
- Right to erasure. Ask us to delete your data where we are not required to keep it.
- Right to grievance redressal. Complain to our Grievance Officer, whose details are below.
- Right to nominate. Nominate another person to exercise these rights on your behalf in the event of your death or incapacity.
To exercise any of these, write to info@aryasamajmandirsdelhi.in from the email or message us from the number you used for your file, so we can be sure it is you. We aim to respond within a reasonable period and will not charge you for a straightforward request.
7. Children
This service is for adults who are legally eligible to marry: the bride must have completed 18 years and the groom 21 years. We do not knowingly collect personal data of a child, and we do not provide any service that would facilitate a marriage involving a minor. If we discover that documents relate to a minor we stop work on the file immediately.
8. Security and what happens if something goes wrong
We use access-controlled devices and accounts, and we limit who can see a file. No system is perfect, and we do not claim otherwise.
If a personal data breach occurs that affects you, we will inform you and the Data Protection Board of India as the law requires, tell you what happened, what data was involved and what you should do.
9. Grievance Officer
If you are unhappy with how your data has been handled, contact our Grievance Officer first. We would rather fix it than have you escalate it.

10. Changes to this policy
We may update this policy when the law changes or when our process changes. The date at the top of this page always shows when it was last revised. Material changes affecting how we use your data will be communicated to you on the contact details we hold for your file.
